Privacy Policy
This policy explains what personal data the SpotDrop service processes, on what legal basis, who receives it, how long it is kept and what rights you have. It is written for two audiences: the businesses using the service and their customers who book through it. This is a translation; the Slovenian version prevails.
1. Controller and contact
| Item | Value |
|---|---|
| Controller | EKOCLEAN, ekološke storitve, d.o.o. |
| Address | Podljubelj 259, 4290 Tržič, Slovenija |
| Registration number | 6053955000 |
| VAT identification number | SI62904698 |
| Data protection contact | [email protected] |
We have not appointed a data protection officer because we do not meet the conditions in Article 37 GDPR. All privacy questions are handled at the address above.
2. When we are a controller and when a processor
This distinction matters because it decides who your request should go to.
- For the data of a business subscribing to the service, and for visitors to spotdrop.si, we are the controller.
- For customer data created by a booking with a particular business, we are a processor. The controller is the business you booked with. If you are a customer and want to exercise your rights, contact them directly; we will assist them, but we may not change or delete their data without their instruction.
- For subscription billing, invoicing and accounting we are a controller even where the data originated in bookings, because tax law requires it of us.
The relationship with a business is governed by the data processing agreement under Article 28 GDPR.
3. What data we process
| Group | Data |
|---|---|
| Business (subscriber) | Contact person's name, email, phone, company name and address, tax number, plan and payment data, page content (services, prices, opening hours, images). |
| Customer making a booking | Name, email, phone, chosen service or date, number of people, note left with the booking, booking history with that business. |
| Payments | Amount, time and status of a payment, the last four digits and the card brand. We never receive or store the full card number; Stripe processes it. |
| Support and enquiries | The content of your message, your email address and anything you include yourself. |
| Technical data | IP address, access time, browser and device type, the page visited, error logs. |
| Site statistics | Visits to public pages. For our own statistics the IP address is irreversibly hashed with a secret salt so the visitor can no longer be identified. Google Analytics loads only if you consent in the banner. |
4. The SpotDrop mobile app
The SpotDrop app for Android and iOS is for the businesses using the service and their staff. You sign in with an existing account; accounts cannot be created in the app. The app shows and edits the same data as the web dashboard, so the purposes, legal bases and retention periods in this policy apply to it.
| Data | Why | How long |
|---|---|---|
| Email address and password or one-time code at sign-in | Signing in to the account. The app does not store the password; only an encrypted sign-in token stays on the device. | The token until you sign out or the session expires |
| Device token for push notifications (Firebase Cloud Messaging) and device type (Android or iOS) | Notifications about new, rescheduled and cancelled appointments. The token is linked to your email address. | Until you sign out of the app, when we delete it, otherwise until the account is deleted |
| Customer details you enter with an appointment (name, phone, email, note) | Managing appointments, as in the web dashboard | As set out in the section on purposes and retention |
| Images you choose and upload yourself (logo, service images) | Display on the business's public page | Until you delete them, at most until the account is deleted |
The app contains no ads, analytics or tracking libraries and sends no crash reports. It does not read your location, contacts, phone calendar or other files; it accesses photos only when you pick an image to upload. All data between the app and our servers is encrypted in transit (HTTPS). You can turn push notifications off at any time in your phone's settings.
How to request deletion of your account, and which data we are required to keep, is described on the Account deletion page.
5. Purposes, legal bases and retention
| Purpose | Legal basis | Retention |
|---|---|---|
| Opening and running an account, operating the dashboard | Performance of a contract, Article 6(1)(b) | For the subscription and 30 days after it ends |
| Accepting bookings and sending confirmations and reminders by email and SMS | Performance of the contract between customer and business, Article 6(1)(b); we act as a processor | On the business's instruction, normally for the subscription and 30 days after |
| Subscription billing, invoicing and accounting | Legal obligation, Article 6(1)(c) | 10 years from the end of the year the invoice relates to |
| Support and answering enquiries | Legitimate interest, Article 6(1)(f), or performance of a contract | 2 years from the last message |
| System security, abuse prevention and fault diagnosis | Legitimate interest, Article 6(1)(f) | Logs 12 months, access records 30 days |
| Our own visit statistics with a hashed IP address | Legitimate interest, Article 6(1)(f) | 14 months |
| Google Analytics and other non-essential cookies | Consent, Article 6(1)(a) | Until consent is withdrawn, at most 14 months |
| Informing subscribers about operation, changes and new features | Performance of a contract or legitimate interest, Article 6(1)(f) | For the duration of the subscription |
| Newsletters and offers you signed up for | Consent, Article 6(1)(a) | Until you unsubscribe |
| Establishing or defending legal claims | Legitimate interest, Article 6(1)(f) | Until the claim is time-barred, normally 5 years |
Once a period ends we delete or irreversibly anonymise the data. It disappears from backups within 60 days of deletion from live systems at the latest.
6. Who receives the data
We do not sell personal data and do not pass it on for anyone else's marketing. We share it only with the following processors, which act on our instructions under an Article 28 GDPR agreement:
| Processor | Purpose | Where the data sits |
|---|---|---|
| Render Services, Inc. | Application and database hosting | Frankfurt data centre (EU) |
| Cloudflare, Inc. | Network protection, caching and storage of uploaded images | EU network |
| Stripe Payments Europe, Ltd. | Card payment processing and payouts to businesses | Ireland (EU) |
| Resend, Inc. | Sending email (confirmations, reminders, invoices) | United States and EU |
| Telemach d.o.o. | Sending SMS messages | Slovenia |
| Twilio Inc. | Sending SMS and WhatsApp messages when that route is used | United States and Ireland |
| Google Ireland Limited | Site statistics (Google Analytics, only with consent), address suggestions, Google Calendar sync when a business enables it, and delivery of push notifications to the mobile app (Firebase Cloud Messaging) | Ireland (EU) |
| Anthropic PBC | Assistant replies on a business's public page; conversation content is not used to train the provider's models | United States |
Booking data is additionally received by the business you booked with, which cannot perform the service without it.
We may also disclose data to public authorities where the law requires it, and to lawyers and courts to the extent necessary to establish or defend legal claims.
7. Transfers outside the European Economic Area
The service runs on servers in the European Union. Some of our processors are US companies or have US affiliates, so transfers can occur. Those transfers rely on the European Commission's standard contractual clauses under Implementing Decision 2021/914, supplemented by measures such as encryption and access restrictions.
| Recipient | Transfer mechanism |
|---|---|
| Render Services, Inc. | US provider; data stays in the EU, US access is covered by standard contractual clauses. |
| Cloudflare, Inc. | US provider; transfers are covered by standard contractual clauses. |
| Stripe Payments Europe, Ltd. | The Stripe group includes Stripe, Inc. in the US; transfers are covered by standard contractual clauses. |
| Resend, Inc. | Transfer to the US under standard contractual clauses. |
| Twilio Inc. | Transfer to the US under standard contractual clauses. |
| Google Ireland Limited | The group includes Google LLC in the US; transfers are covered by standard contractual clauses. |
| Anthropic PBC | Transfer to the US under standard contractual clauses. |
8. Your rights
For data where we are the controller you have the right to:
- access your data and receive a copy (Article 15),
- have inaccurate data corrected (Article 16),
- erasure (Article 17) where we have no other basis to keep it,
- restriction of processing (Article 18),
- portability in a machine-readable format (Article 20),
- object to processing based on legitimate interests (Article 21); for direct marketing an objection always succeeds,
- withdraw consent at any time, which does not affect processing before the withdrawal.
Send your request to [email protected]. We answer within one month; for a complex or large request we may extend this by two months and will tell you. There is no charge, except for manifestly unfounded or repetitive requests. To delete your whole account, follow the steps on the Account deletion page.
If you are a customer and your request concerns a booking with a business, address it to that business. If they do not reply, write to us and we will pass it on.
9. Cookies and similar technologies
A cookie is a small file a website stores in your browser. We use two kinds:
| Kind | Why | Consent |
|---|---|---|
| Essential | Dashboard login, security tokens, your chosen theme and language, your remembered cookie choice. | Not required; the site does not work without them. |
| Statistics (Google Analytics) | Measuring visits and understanding which pages people use. | Required. They load only after you choose Accept in the banner. |
If you choose Decline, Google Analytics is not loaded. You can change your mind at any time by clearing this site's data in your browser, after which the banner appears again. We use no advertising cookies and no tracking pixels in email.
10. Security
We use technical and organisational measures appropriate to the risk: encrypted transport (TLS), encryption at rest at our database provider, least-privilege access control, regular backups, network protection against abuse and access logging. Only a necessary few people can reach production data.
If a breach occurs that is likely to pose a risk to your rights, we notify the supervisory authority within 72 hours and, where the risk is high, you as well.
No system is perfectly secure, so please use a strong password and do not share it.
11. Children
The service is not intended for children. A subscriber must be at least 18. A booking may be made by a person over 15; for anyone younger a parent or guardian must make it.
12. Automated decisions and artificial intelligence
We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects, and we do not profile for marketing.
A business's public page may run an assistant that answers questions about its offering. Your question is sent to the language model provider listed among the processors in order to produce an answer. That provider does not use the content to train its models. Please do not type anything into the conversation you would rather not share.
13. Changes to this policy
We may update this policy as the service or the law changes. Subscribers are notified of significant changes by email or in the dashboard at least 30 days before they take effect. The date of the last change is at the foot of this page.
